Identifying the problems

A client who had grown from around 12 staff to upwards of 70 in 12 months faced an issue. Their existing network comprised of on-premise email and data servers. There was no cloud technology in place. Most users were working remotely doing home visits to clients and the internet into head office was not great.

We identified that:
  • The total server storage requirements were only about 100gb.

  • Users were taking notes on site visits and then typing everything up in a Word/ Excel company standard template before emailing the reports.

  • The poor internet within the office caused issues to remote workers using VPNs to access the servers as well as issues to the email server.

  • With remote staff only completing sheets at the days end, the management team had very little knowledge of the whereabouts of staff throughout the day.

    The cloud solution

    We identified that the company would benefit from cloud technology. After an IT consultation with the client we came up with a plan to move their business into a cloud infrastructure. Here’s what we did:

  • Firstly, we migrated all email to the Microsoft cloud by providing each user a Microsoft 365 license.

  • We then leveraged the Microsoft 365 licencing to setup a SharePoint Intranet where we could store all their standard documents as well as their server data.

  • We built site/ job forms within Microsoft forms for the remote workers to use when visiting a site. We also used one of Microsoft’s automation apps (Power Automate) to carry out workflows when each form is complete.

  • When everything was set up, we integrated it all within Microsoft teams and added the app to every staff member PC and phones, so they had access whenever they required it.

  • We then utilised Teams to facilitate staff training on the new system.


  • Moving the clients into a full cloud infrastructure made sense, and our clients saw the benefits straight away. They no longer required remote access to office servers, had access to collaborative working spaces online and email ran smoothly even when the office internet caused issues.

    By utilising specific cloud technology, we were able to solve all the issues we identified within our client's business.
